Jay Inbound privacy supplement

Google mailbox access for administrative intake and staff review.

Version: JIP-2026.10.08.1. Effective: When published. This supplement describes Jay Inbound's Gmail connection and supplements Weight2Lose Management Inc.'s general Privacy Notice.

Current status: The Gmail connection is being configured. Email capture through this connection is not yet active. The sections below describe how this connection handles information when enabled.

Information accessed and purpose

Jay Inbound requests read-only Gmail permission for the designated Weight2Lose and Toronto Metabolic Clinic business mailboxes. It reads message identifiers, dates, headers, message text and supported attachments to record inquiries, identify possible contact details, detect duplicate records and support staff review. Capture can include archived messages, Spam and Trash; reconciliation can inspect older messages. Sent messages and drafts are excluded from intake.

Storage and review

Saved message content and supported attachments are stored in restricted Google Cloud storage. Intake records, proposed contact details and short supporting quotations are stored in the existing Google Cloud database for authorized review. Selected administrative fields can appear in the restricted intake workbook and Jay dashboard; original message bodies and attachment files are not copied into workbook cells. Suggestions remain subject to staff review.

Processing and use of Google data

The current email intake uses programmed extraction rules rather than an external AI model. Attachment content requiring further extraction is held for review. This connection does not send replies, subscribe people to campaigns or establish permission to contact them.

Jay Inbound's handling and transfer of information obtained through Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.

Retention

Applicable record retention for administrative inquiries is described in the existing Privacy Notice. This supplement does not introduce a different retention period. Disconnecting Gmail does not automatically delete information already saved in the intake system.

Disconnecting and record requests

A mailbox administrator can revoke Jay Inbound's Google access through Google account permissions. Revocation stops future authorized mailbox access; it does not automatically delete copies already saved in the intake system.
